The Department of Curriculum, Instruction & Assessment currently has an opening for a CIA Specialist. The purpose of this position is to support the department in a variety of essential functions including communications, compliance, records and scheduling.
DUTIES AND RESPONSIBILITIES: - Maintains accurate records/student records
- Provides mailings to families
- Processes staff forms and reimbursements
- Fields telephone calls, answer questions within expertise of the subject matter
- Assists with the coordination and scheduling of student screenings
- Assists with (or coordinates) translations of communication into Spanish and other languages
- Provides support for the Electronic Registration Online (ERO)
- Assists with all copy projects, spreadsheets, and tables
- Coordinates the ordering of curriculum and supplies for the District
- Processes purchase orders (POs)
- Assists with tasks associated with the Homeless Liaison(s)
- Coordinates the inventory of all textbooks and related materials with clerk at warehouse
- Assists with District budgets as directed
- Communicates with the Assistant Superintendent of CIA, Directors and Assistant Directors of Special Education Directors (as needed)
- Communicates with families and other districts
- Special Education meetings, invites, and transportation
- Medicaid
- Print Special Education FACTs sheets and match with invite (update Synergy if needed)
- Respond to records requests
- Annual letters to Encore and Special Education parents and others including extended curriculum/accelerated curriculum
- Scheduling and reminders of screening (audiology and ELL)
- Translations or coordination of translations
- Performs all other duties as assigned by the Assistant Superintendent of CIA, Directors and Assistant Directors of Special Education
SKILLS AND EXPERIENCE REQUIRED: - High school diploma or equivalency
- 2 or more years of secretarial experience in school environment preferred
- Computer training
- Proficient in Google Suite, Word, Excel Synergy and Skyward
- 2 or more years of secretarial experience in school environment preferred
PHYSICAL/MENTAL REQUIREMENTS: - Ability to work effectively with District 47 staff, administrators and community members
- Ability to prioritize and problem solve
- Ability to demonstrate computer skills, general office skills, and interpersonal communication
- Ability to conduct and maintain a professional demeanor
- Ability to multi-task, work independently and work as a team to complete tasks
- Physically capable of performing the appropriate duties associated with the position with or without accommodations
- Demonstrates high level of confidentiality, flexibility, articulation, concentration and a sense of humor
